Privacy Policy
This Privacy Policy explains how we collect, use, share, and protect your information when you use our SaaS software (“the Service”). By using the Service, you agree to the collection and use of information in accordance with this policy.
1. Data Collection
- Personal Information: We collect personal data you provide, such as your name, email address, company name, and location. We also log your IP address, device information, and usage behavior when you interact with the Service.
- User Content: Any content you upload or input into the Service (including text, images, videos, and other data) is collected and stored. This includes conversation inputs and outputs generated through our platform.
- Sensitive Data: We may collect certain sensitive identifiers you provide, such as real estate identification numbers related to your state or country, to facilitate the Service’s functionality.
- Cookies & Tracking: We use cookies and similar tracking technologies to automatically collect information about your use of the Service. This may include browser type, access times, pages viewed, and other usage data. Cookies help us enhance user experience, remember preferences, and analyze how the Service is used. You can adjust your browser settings to refuse cookies; however, some features of the Service may not function properly without them.
2. Data Usage
We use the collected data for various purposes in operating and improving our Service:
- Providing and Improving the Service: Personal data and usage information are used to deliver core functionality, maintain performance, and enhance features. This helps us troubleshoot issues, develop new features, and improve user experience.
- Analytics: We analyze user behavior and usage patterns (in aggregate form) to understand how our Service is used. This data guides our business decisions and product strategies.
- Marketing and Communication: Your contact information (such as email) may be used to send product updates, promotions, newsletters, or other marketing communications. You can unsubscribe from marketing emails at any time. We do not spam; communications are sent in accordance with applicable laws.
- Legal Compliance: We may use your information to comply with applicable laws, regulations, legal processes, or enforceable governmental requests. This includes using data to enforce our Terms of Service or to detect and prevent fraud or security issues.
- AI Model Training: Important: We use the data (including user inputs and outputs from the Service) to train and improve our artificial intelligence models. This means your interactions with the Service may be analyzed by our algorithms. Any such data used for AI training is typically processed in an anonymized or aggregated form, and it is used strictly to enhance the capabilities and accuracy of our AI-driven features.
3. Third-Party Sharing
We do not sell your personal information for profit. However, we do share certain data with third parties when necessary to operate our business, as described below:
- Service Providers: We share data with trusted third-party companies who provide essential services on our behalf. For example, we use payment processors like Stripe to handle billing securely (your payment information is processed by Stripe, not stored on our servers). We use email services such as Mailchimp to send newsletters or product updates, and customer relationship or project management tools like Monday.com to organize user requests and feedback. These providers only receive the information necessary to perform their functions and are obligated to protect your data.
- Analytics Partners: We may use third-party analytics tools (e.g., Google Analytics or similar) to collect information about app usage and user interactions. These tools may set their own cookies or tracking technologies to gather usage statistics. Any analytics sharing is done to understand usage and improve our Service; the data shared with analytics providers does not include personally identifying details beyond what is necessary (like IP address or device info, which analytics services use).
- AI and Development Partners: In order to train or enhance our AI models and features, we might utilize third-party AI platforms or consultants. As part of this process, some of your data (particularly usage data, inputs, and outputs, in anonymized form) may be shared with these AI training services or partners. This data does not include direct personal identifiers like your name or contact info; it is limited to the content and interactions needed to improve the algorithms.
- Business Partners (Aggregated Data): We may share or sell aggregated, anonymized data with our partners or research organizations. For instance, we might provide industry trends, usage patterns, or AI analytical insights that are derived from user data. Crucially, this data will not identify any individual user. It could include things like overall usage statistics or generic inputs/outputs from the Service stripped of personal details. We engage in this practice to foster partnerships or contribute to industry knowledge, but we do not sell any data that can personally identify you.
- Legal and Safety Disclosures: If required by law, or to protect our rights, safety, and property or that of our users or others, we might disclose information. For example, we may share data in response to a court order, subpoena, or lawful request by public authorities. We may also disclose information to investigate or remedy violations of our Terms or this Policy.
- Business Transfers: If we are involved in a merger, acquisition, investment, reorganization, or sale of all or a portion of our business, user data may be transferred to the new owner or successor organization. In such an event, we will ensure that the new owner is bound to respect the commitments made in this Privacy Policy regarding your personal information.
4. User Rights and Control
We value your control over your personal data. However, because of the nature of our Service, certain limitations apply:
- Access and Update: You can access and update your basic account information (such as your name, email, or company details) by logging into your account settings. It is your responsibility to keep this information current.
- Deletion of Account Information: You have the right to request deletion of your personal account information. If you choose to delete your account, we will remove or anonymize personal identifiers such as your name, email, and other profile information associated with your account. This will prevent the data from being directly linked back to you as an individual.
- Retention of Submitted Content: Please note: Content you have provided or generated through the Service (for example, conversation logs, inputs, outputs, and uploaded files) may not be deleted even if you delete your account. We retain this data to maintain the integrity of our platform and to continue improving our AI models and services. However, once your personal identifiers are removed from an account deletion, any remaining data is no longer tied to your identity and becomes part of our anonymous knowledge base.
- Opt-Out of Data Collection: Using our Service necessarily involves data collection as described in this Policy. We do not offer a means to opt out of essential data collection or processing while continuing to use the Service – all data you provide is collected and stored by default. If you do not agree to this, the only way to opt out is to discontinue use of the Service. (Non-essential marketing emails, however, can be opted out of by unsubscribing as mentioned above.)
- Data Portability: At this time, we do not provide a self-service data export or portability tool. Given that we are not operating under jurisdictions requiring such measures, we handle data export requests on a case-by-case basis. If you need a copy of your personal data, you may contact us, and we will assist if possible.
5. Data Security
We take the security of your data seriously and implement industry-standard security measures to protect it:
- Secure Infrastructure: Your data is stored on enterprise-grade secure servers. We use reputable cloud hosting platforms that employ robust security practices (including firewalls, intrusion detection, and regular security audits).
- Encryption: Wherever possible, we encrypt data in transit and at rest. For example, our website and app are served over HTTPS to encrypt data transmitted between your device and our servers. Sensitive data (like passwords or payment information) is encrypted or tokenized. (Note: We do not store raw payment details on our servers; any payment information is handled by our payment processor, e.g., Stripe.)
- Access Controls: Personal data is accessible only to authorized personnel who need it to perform their duties (e.g., customer support, engineers for troubleshooting). We restrict internal access and ensure our team members are trained on data privacy and security practices.
- Security Testing: We regularly update our software and perform tests (including vulnerability assessments or penetration testing) to identify and fix security vulnerabilities. We also monitor for potential threats and have protocols to respond to security incidents.
- No Absolute Guarantee: While we strive to protect your information, no method of transmission over the internet or electronic storage is 100% secure. Therefore, we cannot guarantee absolute security. In the unlikely event of a data breach, we will notify affected users and relevant authorities as required by law.
6. International Users and Compliance
Our Service is primarily intended for users in jurisdictions that do not impose strict data protection laws. We currently do not operate in regions like the European Union (GDPR) or California (CCPA/CPRA) with comprehensive data privacy regulations, and this Privacy Policy is not specifically designed to comply with those laws.
- No GDPR/CCPA Applicability: Since we do not actively offer the Service to EU residents or California consumers, laws such as the EU General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA) generally do not apply to our data practices. We are not currently obligated to provide GDPR or CCPA-specific rights (such as broader access, deletion, or opt-outs beyond what is described above).
- International Access: If you are accessing the Service from outside our primary operating country, be aware that your information will be transferred to and stored in our servers which may be located in a different country. By using the Service, you consent to this transfer. We will handle your information as described in this Policy regardless of your location, but we make no representations that our practices meet the requirements of all international jurisdictions.
- Future Compliance: If our business expands to new regions or if laws change, we will update our privacy practices accordingly. We remain committed to protecting user privacy and will take necessary steps to comply with any applicable data protection regulations if and when they become relevant to us.
7. Data Retention
We retain collected data for as long as necessary to fulfill the purposes outlined in this Privacy Policy unless a longer retention period is required or permitted by law. In practice, this means:
- Indefinite Retention: We reserve the right to retain your data indefinitely, even after you stop using the Service or delete your account. This indefinite retention policy applies to all data, including login information, usage logs, and content you provided.
- Purpose of Retention: The reason we keep data indefinitely is to support and improve the Service (for example, by learning from historical interactions to improve our AI), to maintain accurate business records, and to comply with any future legal obligations or disputes (where keeping logs might be necessary).
- Account Deletion Requests: If you request deletion of your account (as described in Section 4), we will remove or anonymize personal identifiers from our active databases. However, residual data may remain in our backup systems or archives indefinitely. Any content or usage data that remains is disassociated from personal details and may continue to be used in an anonymized form.
- Backup and Archive: Copies of your data might persist in routine backups and archives. We cannot always remove specific data from those backup files, but in the event we restore from a backup, we will re-apply deletion/anonymization processes as required.
- Legal Requirements: If we are under a legal obligation to retain certain data (for example, for tax, audit, or crime prevention purposes), we will keep that data as required by the applicable law, even if it conflicts with an account deletion request.
8. Children’s Privacy
Our Service is not intended for children under the age of 18, and we do not knowingly collect personal information from minors. If you are under 18, you are not permitted to use the Service or provide any personal information to us.
- No Minors: We do not target or market the Service to minors. We require all users to certify that they are 18 or older when creating an account.
- Parental Responsibility: If you believe that a child under 18 may have provided us with personal information, please contact us immediately (see the “Contact Us” section below). We will take prompt steps to delete the information and terminate the child’s account if we discover such data.
- Age Verification: While we do not currently employ a formal age verification process, we trust that our users provide truthful information about their age. We reserve the right to delete accounts that we suspect are operated by minors.
9. Changes to This Privacy Policy
We may update or modify this Privacy Policy from time to time. If we make significant changes, we will notify you in advance to keep you informed about what information we collect, how we use it, and under what circumstances we may disclose it.
- Notification of Changes: Any major changes to this Policy will be communicated via email to the address associated with your account. We will provide at least 30 days’ notice before new terms take effect, allowing you to review the changes. In some cases, we may also place a prominent notice on our website or within the app to inform users of upcoming changes.
- Consent to Updates: Continued use of the Service after any changes to the Privacy Policy constitutes your acceptance of the new terms. If you do not agree with the changes, you should discontinue use of the Service and, if applicable, delete your account.
- Policy Versioning: For your reference, we will update the “Last Updated” date at the top of this Policy whenever it is revised. We encourage you to periodically review this Privacy Policy to stay informed about how we are protecting the personal information we collect.
